By signing up for Speakrphone, you agree to the collection and use of your information as outlined in this policy.
1. Information We Collect
A. Information You Provide
- Account Information: When you create a profile, you provide your name, email address, social media handles, short and long bio, headshot, thumbnails, and links to your talks.
- Content You Upload: Any talks, transcripts, or presentation materials you link may be processed to enhance search functionality.
- Social Interactions: If you follow speakers or interact with profiles, we store this data to improve recommendations and networking.
- Communications: If you contact us (e.g., via email or support requests), we collect your correspondence to assist with inquiries.
- LinkedIn Verification: If you choose to connect your LinkedIn account for identity verification, we receive data from your LinkedIn profile via OAuth, including your name, email address, profile photo, and LinkedIn profile ID. This information is used to verify your identity and determine your eligibility for enhanced visibility on the Platform (e.g., featured placement in search and discovery). Connection records are retained for audit and deduplication purposes even if you later disconnect your LinkedIn account.
B. Information Collected Automatically
- Usage Data: We collect data on how you interact with Speakrphone, such as IP addresses, device/browser types, and referring pages.
- Analytics & Tracking: We use Google Analytics and PostHog to understand traffic patterns, analyze product usage, and improve user experience. PostHog may capture session recordings and user events to help us diagnose issues and improve the Platform.
C. Cookies & Tracking Technologies
We use the following categories of cookies and similar technologies:
- Essential Cookies: Required for the Platform to function, including authentication (via Clerk), session management, and remembering your cookie banner acknowledgment.
- Analytics Cookies: Used by Google Analytics and PostHog to understand usage patterns, diagnose issues, and improve the Platform. PostHog may also capture session recordings.
- Security Technologies: We use Google Safe Browsing API (to detect phishing links) and reCAPTCHA (to identify bots).

Cookie Acknowledgment. By creating an account with Speakrphone, you acknowledge and accept our use of cookies as described above. Visitors who have not created an account will see a cookie notice banner on first visit which can be dismissed to acknowledge this policy.
2. How We Use Your Information
We use your information to:
- Provide, maintain, and improve Speakrphone.
- Enhance speaker and content discovery (including AI-powered talk recommendations).
- Recommend relevant speakers and talks based on interactions and shared topics.
- Personalize your experience and deliver relevant content.
- Authenticate users via OAuth (Google Login) or OTP (email verification).
- Communicate with you (e.g., service-related emails via PostMark).
- Monitor platform security and prevent fraud or abuse.
- Send you newsletters and updates about Speakrphone. You can unsubscribe at any time via the unsubscribe link in the email.
We do not use passwords, authentication is done via OAuth or email-based OTPs for security.
3. How We Share Your Information
We do not sell your personal data. However, we may share your information with trusted third parties, including:
- Service Providers: We use Vercel (backend), Google Cloud, UploadThing (CDN), PostMark (email), OpenAI and Anthropic (AI APIs), Clerk (authentication), LinkedIn (identity verification), and PostHog (product analytics and session replay), as well as similar providers we may engage as the Platform evolves.
- International Transfers: Because Speakrphone and our service providers are primarily based in the United States, personal data from users in the European Economic Area, United Kingdom, Switzerland, or other jurisdictions with data transfer restrictions may be transferred to, processed in, and stored in the United States. We rely on Standard Contractual Clauses (and equivalent mechanisms under UK and Swiss law) to provide appropriate safeguards for these transfers, as required by applicable data protection laws.
- AI Processing: We may process transcripts and profile data through LLMs (e.g., OpenAI, Anthropic) for internal indexing and retrieval to improve search functionality.
- Security & Compliance: If required by law, we may disclose information to comply with legal obligations or protect our rights.
4. Data Retention & Deletion
- Active accounts: We retain your personal data for as long as your account is active. Because Speakrphone profiles and talks are designed to be discoverable, we retain your profile, talks, and related content even during periods of inactivity, so your presence on the Platform remains searchable and so you can return to your account later.
- Account deletion: You can delete your account at any time by going to Settings → Account → Delete Account. Upon deletion, we will remove your personal data and your Platform content. Some limited data may be retained only where required by law (e.g., to comply with legal obligations or respond to legal process).
- Anonymized and aggregated data: We may retain non-personally identifiable analytics, aggregated data, and de-identified content indefinitely for research, product improvement, and training purposes.
- Public content: Because Speakrphone profiles and talks are designed to be publicly accessible and may be indexed by search engines or referenced by third parties, some content may persist outside our direct control even after deletion.
- Backups: Copies of your data may temporarily persist in encrypted backup systems after deletion, in the normal course of backup rotation.
5. Your Privacy Rights
Depending on your location, you may have rights under laws such as the General Data Protection Regulation (GDPR) (EU/UK residents) or the California Consumer Privacy Act (CCPA/CPRA) (California residents), including:
- The right to access, update, correct, or delete your personal data.
- The right to opt out of certain data processing.
- The right to receive a copy of your data in a portable format.

7. AI and Machine Learning Usage
We use AI models (such as OpenAI and Anthropic) to enhance:
- Smart Search: Your talk transcripts may be indexed to improve search relevance.
- Speaker Recommendations: AI may suggest speakers based on shared interests, followers, or past interactions.
- Content Recommendations: AI may also suggest relevant talks or topics based on your profile activity.

- We may update this Privacy Policy from time to time.
- If we make significant changes, we will notify users via email or platform alerts.
